Position Summary
The Manager – Project Management & Client Services will be responsible for managing end-to-end retail branding and fit-out projects across India while serving as the primary point of contact for assigned clients. The role requires driving project execution from planning to closure, ensuring adherence to quality, timelines, budgets, and client expectations. The incumbent will collaborate with internal stakeholders, branch teams, vendors, quality teams, and clients to ensure seamless project delivery and operational excellence.
Key Responsibilities
1. Client Relationship Management
- Act as the Single Point of Contact (SPOC) for assigned clients.
- Understand client requirements and translate them into executable project plans.
- Attend client meetings and prepare Minutes of Meeting (MoM).
- Build and maintain strong client relationships through proactive communication.
- Ensure adherence to agreed Service Level Agreements (SLAs).
- Resolve client escalations within defined timelines.
- Present weekly, monthly, and quarterly project updates to clients.
2. Project Planning & Execution
- Manage end-to-end execution of retail branding and fit-out projects across multiple locations.
- Prepare project execution plans, deployment schedules, and milestone trackers.
- Coordinate with branch teams, procurement, fabrication, vendors, QC teams, logistics, and clients.
- Monitor complete project lifecycle from:
- Recce
- BOQ Preparation
- Client Approval
- Fabrication
- Installation
- Quality Inspection
- Work Completion Certificate (WCC)
- Project Closure
- Ensure projects are delivered within approved timelines, budget, and quality standards.
- Lead pilot projects as well as Pan India rollouts.
3. Smart BOQ & Commercial Validation
- Review and validate BOQs prepared by field teams.
- Verify quantities against approved recce reports and site measurements.
- Ensure compliance with approved rate cards and client specifications.
- Identify quantity discrepancies, scope deviations, and commercial risks.
- Validate variation orders and assess commercial implications before approval.
4. Recce & Site Survey Management
- Plan and monitor Pan India site survey activities.
- Review site measurements, photographs, and technical observations.
- Validate feasibility of branding and fit-out execution.
- Coordinate BOQ revisions with branch and execution teams.
- Ensure accurate and complete site documentation.
5. Quality Assurance & Compliance
- Conduct quality audits for fabrication and installation activities.
- Ensure compliance with approved drawings, BOQs, material specifications, and brand guidelines.
- Verify workmanship and execution quality.
- Approve project completion prior to issuance of Work Completion Certificates (WCC).
- Drive continuous improvement in quality standards.
6. Vendor & Contractor Management
- Evaluate vendor capability, productivity, and service quality.
- Monitor vendor performance against defined KPIs and SLAs.
- Resolve execution-related challenges through effective coordination.
- Support vendor development and performance improvement initiatives.
7. Team Leadership
- Lead and mentor QC Field Managers and project execution teams.
- Allocate daily, weekly, and project-specific assignments.
- Conduct performance reviews, coaching sessions, and capability development initiatives.
- Support recruitment, onboarding, and training of new team members.
- Build a high-performance, customer-focused project team.
8. Operations Coordination
- Plan manpower deployment across multiple projects.
- Optimize resource utilization and execution schedules.
- Conduct weekly operations review meetings with cross-functional teams.
- Monitor project progress and identify execution bottlenecks.
- Drive operational efficiency and timely project delivery.
9. Documentation & Project Control
Review and maintain project documentation including:
- Bill of Quantities (BOQs)
- Work Completion Certificates (WCCs)
- Daily Progress Reports (DPRs)
- Site Survey Reports
- Completion Reports
- QC Inspection Reports
- Photographic Documentation
- Client Approvals
Ensure documentation accuracy, audit readiness, and compliance with organizational standards.
10. Process Improvement
- Develop and implement project management SOPs.
- Standardize BOQ validation and QC processes.
- Identify workflow improvement opportunities.
- Drive automation initiatives to improve operational efficiency.
- Promote best practices across projects and branches.
11. Commercial & Cost Control
- Review project budgets and cost estimates.
- Validate commercial implications of project variations.
- Monitor project costs against approved budgets.
- Identify cost optimization opportunities without compromising quality.
- Support commercial decision-making through data-driven analysis.
12. Reporting & MIS
Prepare and review periodic reports including:
- Daily Project Status Reports
- Weekly Operations Dashboard
- Monthly Client Review Presentations
- QC Compliance Reports
- Project Aging Reports
- Cost Optimization Reports
- Branch Performance Dashboards
- Management MIS Reports
13. Training & Knowledge Management
- Conduct Smart BOQ training programs.
- Train vendors on execution standards and SOPs.
- Train QC Field Managers on project execution processes.
- Develop training manuals, process documentation, and knowledge repositories.
- Share best practices and lessons learned across regional teams.

Qualification
- Bachelor's Degree/Diploma in Architecture/Interior Design.
- Knowledge and hands on experience on AutoCad Software
- Proficiency in MS-Office.
Experience
- 8–10 years of experience in Project Management, Retail Branding, Interior Fit-outs, Civil Execution, or Store Rollout Projects.
- Experience managing Pan India execution projects is preferred.
- Exposure to client-facing roles and large-scale retail rollout projects is highly desirable.
