About the role
We are happiest when our clients are happy, we’re doing great work we are proud of and our websites are performing to their full potential – highly performant, fully accessible and digitally sustainable. To deliver ongoing quality and great service, we rely on a team of highly organised and proactive Project Managers, with great communication skills and an ability to set clear boundaries to keep projects on track.
As a Project Manager, you will manage WordPress web design and development projects both through the initial project phase and through our vital ongoing retainer model, leaning on our wider team of specialist team members to identify the best solutions against requirements and budgets.
You’ll need to be proactive, confident and friendly with our clients, have a solid understanding of the solutions we provide, and have excellent attention to detail. You will work with teams who align with our mission to use business as a force for good and play your part in accelerating the shift to an Internet that’s good for people and planet.
This role would suit someone looking for a second or third role within the agency space, looking to stretch their PM skills across a wider variation of projects and with more positively impacting clients.
Day to day responsibilities
Vital to the success of running a highly effective studio, is ensuring that we deliver on time and to budget, every time. We know that the best made plans can sometimes go awry, so proactive management of project roadmaps and communications are key, as is knowing when to lean on the Account Manager or wider project team and when to move forward on your initiative. You’ll be mitigating possible derailers from the outset to provide the best possible chance of success from day one.
Manage time and resource
You are responsible for ensuring your project objectives are being met and that means having the resource to do it. Working with the wider Client Success team, effectively planning and resourcing your projects to balance client needs against Studio capacity will be essential.
Creatively solve problems
When faced with a project challenge, respond positively and efficiently to fully understand the nature of the issue, its source and proactively work with the project team to provide options that balance the project health, client need and Wholegrain resources.
Effective communication
It’s key that we keep our clients up to date regularly and effectively informed of project or retainer progress. That they know they are heard and also that communication comes to them proactively in the form of our project tools. Effective communication does not overshare but ensures that at any time a client is aware of the progress of their project. Effective management of a project roadmap or sprint is dependent on clear and effective communication throughout.
Set and manage clear boundaries
Both internally and externally, ensuring that you know the full scope of the project and can flag whether this starts to creep or you feel that it is not met. Internally, you will know when to use the wider team to support the work and when doing this will jeopardise the budget or other client workflows.
Build and manage effective project teams
We know this goes two ways. Not only does an effective Project Manager ensure that their own internal teams are clear and aware of the project at hand and what is expected from them, the client’s team is also fully aware of confirmation, sign off and submissions that they are accountable for, and well informed in advance to manage expectations.

Excellent communication skills
You can’t underestimate the power of good, effective communication at keeping a project on track, and everyone is different. So being aware of how you communicate best and how that translates to your opposite project manager and internal teams communication needs, is vital. Communication will be expected across all channels, written, verbally and in face‑to‑face discussions as well as presentations with our clients and their wider teams.
Technical understanding
We do not expect our PMs to code or be specialists in this field, but an understanding and enthusiasm for WordPress and its capabilities is key (if you don’t know, just raise your hand as you are surrounded by the best in the business). You will need to translate technical dev ways of working into practical and clear communication for our clients who may not be technical. In return, you will also need to communicate the needs of the project to the internal team – with the context of the ‘why’.

Delivering projects on budget and on time is vital to our business – success depends on balancing quality work and maintaining our profit margin. Your role is pivotal in balancing resource, budget and expectations so that all teams can effectively work to a common goal with the projects whilst also supporting the stability of our business.
Cool head under pressure
It would be remiss of us not to acknowledge that sometimes, things don’t go to plan. Your role is essential to managing these times when they do occur. Using a level head and taking full scope of the challenge at hand is key to defining the right solutions for the way to move ahead that work for both Wholegrain and the client.
Independent working and team unity
You won’t be able to do this on your own. You will be reliant on the wider Wholegrain team to bring our client’s websites to life, constantly evolving and maintaining them. You are a central part to this team and therefore essential to keeping your project teams on one page and positive in all situations. You will be coordinating efforts, maintaining motivation and delivering clear communication when it comes to your planning.
Passion for delivering great customer service
Understanding how client teams and organisations work, and how we can support them to deliver a project, is essential. You will be able to collaborate with our clients, understanding what good service looks like to them and finding the common ground.
Who you will work with
Line of reporting
You will sit in the Client Success team, alongside your line manager, the Delivery Lead. The team is led by our Client Success Director and so you will have a support line directly into the SLT if needed.
Internal team
The day to day focus of the role will see you working with all teams within the business as our full team work on project and retainer based clients..
Client interaction
Our potential clients sit firmly within the purpose driven space and so you will get the chance to work with them closely to deliver their project effectively.
Solo work
There is a small amount of solo working with the role, primarily in the administration and reporting space. This is completed in isolation but isn’t unique to this role so there will be support and collaboration with the wider Client Success team within this also.
